WhatsApp Business API guide
App or API: what's the difference?
The WhatsApp Business app is free and runs on a phone. It suits one person replying by hand. The WhatsApp Business Platform, usually called the API, has no app of its own. Software connects to it, which is what lets you automate replies, share one number across a team, and link messages to your calendar or orders.
What you need to get started
Most of this is a one-time setup, and a provider such as ordr.ae can walk you through it.
- A Meta Business portfolio for your company
- A phone number that can receive a verification code
- A display name, which customers see and Meta reviews
- Business verification, which Meta asks for to raise your limits
What happens to your existing number
A number can move to the platform, but in our setup it then stops working in the regular WhatsApp app on a phone, and your team replies from a dashboard instead. If you'd rather keep your current number on a phone, use a new number for the platform.
The 24-hour window
When a customer messages you, a 24-hour window opens, and every new message from them restarts it. Inside it you can send normal messages. Outside it you can only send pre-approved message templates. That's why booking reminders and order updates need templates approved by Meta.
Message templates
A template is a message you submit to Meta for approval, with blanks for details such as a name or a time. Templates fall into categories such as utility, for things like reminders, and marketing, for promotions. Marketing messages also need the customer's agreement to hear from you.
What Meta charges for
Meta charges per delivered message, based on the message category and the customer's country, and messages from customers to you are free. These rules change: Meta announced new charges from 1 October 2026 for some messages sent inside the 24-hour window, which used to be free. Check Meta's pricing page for current rates before you estimate costs. Any fee from your software provider comes on top of this.
Questions to ask a provider
Before you choose a provider, ask these questions. They reveal most of the differences that matter.
- Does the bot complete a booking or order, or only collect details?
- Does it handle Arabic, including voice notes?
- What happens when it doesn't know the answer?
- Who owns the number and the customer data?
